Xero integration settings

Configure the Xero integration.

The Xero Settings page allows you to view the current configuration of the Xero integration and change any of these values as necessary by clicking Change for the relevant setting.

Default sales account

Creating a new item in Xero requires that an account be specified as the 'Sales Account' for the item. The account you select here will be used by Fieldfolio to create new items in your Xero organisation.

Tax rate settings

Creating a new item in your Xero organisation requires that the applicable tax rate be specified.

Default tax rate

The tax rate specified here will be used when creating a new item in your Xero organisation to which tax is applied.

Default non-taxable tax rate

The tax rate specified here will be used when creating a new item in your Xero organisation to which tax is not applied, that is, those for which the Apply Tax to this Product checkbox for the product in Fieldfolio is unchecked.

Automatically create missing customers in Xero

By default, if the customer associated with an order can't be found in your Xero organisation then syncing the order to Xero will fail.

This setting enables you to select whether Fieldfolio should automatically create any customers that can't be found in your Xero organisation, thereby increasing the likelihood that syncing orders for new customers will be successful.

Retrieve Stock on Hand from Xero

This setting enables you to select whether, when syncing an order to Xero, Fieldfolio should retrieve from Xero the Stock on Hand values for any items in the order and update Fieldfolio's own figures accordingly.

Note: Fieldfolio creates Draft invoices in Xero, and Xero doesn't treat stock as committed/unavailable until an invoice has been Authorised.

This means that when syncing an order to Xero, you won't see a change to the Stock on Hand figures for the products in the order right away — this change will only be reflected once the invoice has been Authorised and another order containing these products has been synced to Xero.

Disable the integration

Should you wish to pause the syncing of new orders to Xero, this can be achieved by clicking Disable the integration. All of the existing settings and sync log entries will be retained but you'll need to re-enable the integration (and complete the integration setup process again) before any new orders will be synced to Xero.

Please note that if the integration is disabled and later re-enabled, it will not be possible to sync to Xero any orders that were created while the integration was disabled.

Disconnect the integration from your Xero organisation

Clicking disconnect it completely will remove the link between your Fieldfolio account and your Xero organisation and will destroy all settings and sync log entries for the integration. Accordingly, please use this option with caution.
