Setup the MYOB AccountRight Live integration

Automatically sync new orders to your MYOB AccountRight Live company file.

The MYOB AccountRight Live integration enables new orders posted to your Fieldfolio seller account to be automatically synced to your selected MYOB AccountRight Live company file.

To get started, visit Accounts & Settings.

Connecting your MYOB account

The first step in setting up the integration is to connect your Fieldfolio account to a MYOB account that has access to the company file to which you want to sync orders created in Fieldfolio.

Under Integrations, clicking Connect in the MYOB AccountRight Live panel will launch a popup window where you'll need to login to your MYOB account using your my.MYOB login details to grant Fieldfolio access to the company files you have access to.

Selecting the company file to sync to

Once you've successfully logged into your my.MYOB account the next step is to select the company file that you'd like Fieldfolio to sync orders to.

The form on this page lists all of the company files your my.MYOB account has access to. Simply select the name of the company file from the list and then click Confirm to continue.

If the company file you'd like Fieldfolio to sync to isn't listed on this page this is likely because it hasn't been put online. See the MYOB AccountRight help documentation for further information.

Required company file permissions

Once you've selected a company file and clicked Confirm, Fieldfolio performs a check to ensure that the my.MYOB account linked to your Fieldfolio account has the necessary permissions for creating new orders (and their customers and inventory items) in this company file.

At a minimum, your my.MYOB account must have the following permissions for your selected company file:

  • Accounts > Accounts: Read Only
  • Cards > Customer Cards: Read & Write
  • Inventory > Items: Read & Write
  • Lists > Tax Codes: Read Only
  • Sales > Sales: Read & Write

If your my.MYOB account doesn't have the necessary permissions an error message will be displayed, and you'll need to either select a different company file to sync to or ask an owner or administrator of the company file to change your access level so that you have the required permissions. It's possible that your my.MYOB account credentials may give you access to a company file, but that your 'per-file' credentials for the file aren't linked to your my.MYOB account. If this is the case for the company file you've selected you'll see an error message and you'll need to check with an owner or administrator of the company file that your company file user is configured to access the company file using your my.MYOB account. Verifying company file currency compatibility

Fieldfolio can only sync orders to MYOB when the currency of the order matches the local currency of your company file. This is because MYOB only permits creating foreign currency orders within the AccountRight software itself.

Accordingly, you'll only be able to successfully setup the MYOB AccountRight Live integration if the currency of your Fieldfolio catalog matches the local currency of your selected MYOB company file.

Selecting the default income account

When creating an inventory item in MYOB it's necessary to specify an account to use as the 'Income Account For Tracking Sales' for the item. The form on this page lists all of the accounts of the type 'Income' available in your selected company file.

Select an account to use as the default when creating a new inventory item and then click Confirm to continue to the next step.

Selecting default tax codes

Creating a customer or inventory item in MYOB requires the applicable tax codes to be specified. The form on this page lists all of the tax codes available in your selected company file. The tax codes you select here will be used when creating a new customer or inventory item in your company file.

This step requires three selections to be made:

Default tax code

This tax code will be used as the default when creating a new customer in MYOB, or creating a new inventory item to which tax is applied.

Default freight tax code

This tax code will be used as the default when creating a new order or customer in MYOB.

Default non-taxable tax code

This tax code will be used as the default when creating a new inventory item to which tax is not applied.

Once you've made your selections, click Confirm to continue.

Automatically creating missing customers in MYOB

When syncing an order to MYOB, Fieldfolio will attempt to find the order's customer in your selected company file by first looking for a customer where the MYOB DisplayID matches the Fieldfolio Reference and if this fails, looking for a customer where the MYOB CompanyName matches the Fieldfolio Name.

By default, if this customer lookup fails syncing the order will also fail. The setting on this page allows you to specify whether Fieldfolio should automatically create any customers that can't be found in your selected company file, thereby increasing the likelihood that syncing orders for new customers will be successful.

Select your desired option and then click Confirm to continue.

Retrieving Stock on Hand figures from MYOB

When syncing an order, Fieldfolio can optionally retrieve from MYOB the Stock on Hand values (MYOB's Quantity Available) for any inventory items in the order and update Fieldfolio's own figures accordingly.

Select your desired option and then click Confirm to continue.

In summary

Setup of the MYOB AccountRight Live integration is now complete. Provided the integration remains enabled, any new orders will be automatically synced to your selected MYOB AccountRight Live company file.
